MacEwan University

Student Recruitment - Project management System

Suffering from a cumbersome array of processes, systems, and tools, the student recruitment and admissions department needed a way forward that allowed them to plan, track, manage, and evaluate efforts and student success at MacEwan University.

I conducted a full-scope evaluation of all activities done by the department and staff. This evaluation included all software and devices used, documentation created, all methods of data collection and data entry, when and where staff conducted actives, the nature and requirements of staff activities, what features and functionality was needed and wanted by staff, and what systems at the university any solution was required to connect.

After an extensive and lengthy review process, I crested a data and process map that outlined all actives and data that would occur in the life-cycle of student recruitment. After a reviewing the pricess and activities map, I began creating a user experience / user interface requirements document. Utilizing the data map and interface outline, I shifted to mananging a team of app-developers that build and codes a custom cloud-based application and database solution – that allowed staff to access and enter information easily and consistently.

The final solution enabled staff and departments to collect streamlined and consistent data, analyze and evaluate the data to see trends, and develop an understanding of where to direct recruitment efforts. Simplifying processes, tools, and efforts the solution made a lasting impact on the effectiveness of the department.

Testimonial

"William was an amazing resource for Xerox Creative Services' MacEwan University systems project. Being able to shift from creative designer to client manager, then from data analyst to user experience designer, then on to managing the programming and testing of the platform, William was able to do in a single person what I usually need a team of people to accomplish. We couldn't fully understand the scope of the project until we reviewed how the recruitment department operated - this meant finding someone who could talk to the wide variety of user groups who interacted with the department’s systems, and still be able to talk tech when needed. William was able to bridge this gap, effectively collecting user data and interpreting the results back to the development team for action. Because he managed all aspects of the project, it was done faster and with less error. The biggest testament to William was how happy the MacEwan staff were with the new recruitment system - William was an indispensable member of my Xerox team.”
